The Sales Coordinator works directly with the Sales Managers/Assistant Managers to coordinate of all aspects of the leisure/ad hoc groups from International and Domestic markets in a high volume setting. Sales Coordinators will also be responsible working closely with business contacts and property operation teams in creating efficiencies and consistency for processing group bookings. All duties are to be performed in accordance with department and property policies, practices and procedures.
- Process contracts, booking recaps, and countersigned contracts.
- Prepare and distribute weekly reports (i.e. GRC, Meal Coupons, and Arrivals).
- Upload and update data on SHAREPOINT sites.
- Answers telephones in a prompt, courteous, and pleasant manner.
- Assists clients and directs calls making a concerted effort to ensure that the client reaches the appropriate Sales Manager and takes messages if necessary.
- Inputs sales leads into Delphi.fdc as required.
- Assists in preparation of correspondence and faxes.
- Updates accounts, bookings, changes, and cancellations in Delphi.fdc and ensures all information is correct and complete.
- Processes all deposits, rooming lists, and communicates group needs to all relevant departments.
- Manage the group information in Delphi.fdc for accounting and group history purposes.
- Prepare resumes as required.
- Assist with researching billing issues.
- Makes trip preparations for sales calls and appreciation visits.
- Assist with client events and conduct property site inspections.
- Attend skill building classes and team building activities.
- Ability to maintain confidentiality on sensitive information.
- Performs other job related duties as assigned by Assistant Manager, Sales Manager, or VP.
- Performs other job related duties as requested.
Required:
- Must be at least 21 years of age.
- At least 2 year of administrative experience.
- At least 1 year of hotel sales or related industry guest service experience.
- Excellent customer service skills.
- Have interpersonal skills to deal effectively with all business contacts.
- Professional appearance and demeanor.
- Work varied shifts, including weekends and holidays.
- High school diploma or equivalent.
- Proficient in Microsoft Office programs (Outlook, Word, Excel and PowerPoint).
- Able to effectively communicate in English, in both written and oral forms.
Preferred:
- College Degree.
- Working knowledge of Delphi.fdc (or equivalent sales/catering software systems) and Opera (or equivalent hotel property management system).
- At least 2 years of experience in a similar resort setting.
